In active development
A white-label client portal for design studios. Quotes, contracts, approvals, messages and files in one place.
Finals are released the moment the invoice clears. Your brand throughout — the client never sees ours.
Instead of
One login, not five subscriptions.
- A proposal and quoting tool
- An e-signature seat
- A file-transfer service
- Payment links, chased by hand
- A shared drive for deliverables
The handover
Finals unlock when the invoice clears.
Previews are free to view, comment on and approve. The final files stay gated until payment lands, and the gate is per file rather than per project, so a client can settle one deliverable and collect it while the rest of the job carries on. No chasing, no manually emailing a zip once a payment notification arrives. This gate already runs in production for Apexify’s own client work; what’s in development is licensing Handover to other studios.
Before the work starts
Quote to signed contract, in one thread.
Send a quote, the client accepts or declines in place, and an agreement is generated from your own wording and signed in the browser. Countersigned copies are stored against the job. No email attachments, no separate e-signature seat, and no job can start without a signature on file.
White label
Your studio’s portal. Not ours.
Your logo, your colours, your sending address, your branding on every generated PDF, and your name on the sign-in screen. Handover is the software underneath; your clients only ever see your studio. Contrast is checked against the surface each colour actually lands on, so a brand palette cannot quietly produce unreadable text.
What it does
Everything a project needs, in one place.
- Previews free to view, comment on and approve
- Final files released when payment lands
- Card payment, or mark it paid yourself
- Milestone payments with their own gates
- A payment record per job, not a spreadsheet
Why it holdsThe gate is per file, not per project — a client can settle one deliverable and collect it while the rest of the job carries on.
- Quotes accepted or declined in place
- Reusable quote presets
- Agreements built from your own wording
- Signed in the browser, no separate seat
- Countersigned PDFs kept against the job
Why it holdsThe Statement of Work is composed from the job’s own records rather than retyped, so a signed contract cannot disagree with what the system goes on to enforce.
- Four stages, one clear place in the process
- Milestones and a roadmap the client can see
- Checkpoints when you need a decision
- An approvals queue, so nothing waits unseen
- Due dates and attention flags
Why it holdsCheckpoints sit deliberately outside the job’s status: asking a client a question never advances a stage or trips a payment gate.
- Uploads straight to storage, no size ceiling in the app
- Preview and final tiers on every file
- Thumbnails for anything visual
- Message attachments become project documents
Why it holdsEvery download link is minted at the moment it is used and expires, so a forwarded link does not quietly become a permanent back door.
- Threaded messages with reactions, edit and delete
- Per-event email preferences
- Updates arriving live, without a refresh
- Installable on a phone, with push notifications
Why it holdsReminder emails are re-checked at the moment they would send, so a client who signs straight away never receives a "please sign" nudge.
- Your logo, colours and sign-in screen
- Your sending address on every email
- Your branding on generated PDFs, with a layout choice
- Your own contract templates and wording
- Your own words for the things in the app
Why it holdsBrand colours are checked against the surface they actually land on, so a palette cannot quietly produce text nobody can read.
- Client teams, invitations and roles
- Two-factor sign-in with recovery codes
- Breached-password checking
- Sign a device out everywhere, immediately
- An audit log of who did what
Why it holdsPassword checking never sends the password anywhere, and fails open on purpose — a security check that blocks somebody fixing their password is worse than no check.
Before you ask
The questions studios actually have.
Nothing is held in a format only this software can open. Contracts, quotes and statements of work are PDFs you already hold copies of, and deliverables are the files you uploaded, unchanged.
Clients are invited by email and set their own password — there is no import, and no requirement to backfill finished projects. Most studios would start by running their next new project through it and leave the old ones where they are.
It is a website, so there is nothing to install, and it works on a phone. Clients get an email whenever something needs them, so somebody who never signs in still knows where the project stands.
Yours. Your logo, colours, sign-in screen, sending address and PDF branding, and your own wording for the things in the app. The only place Apexify appears is a small "powered by" credit.
Pricing is not set. The software runs in production on Apexify’s own client work today; licensing it to other studios is what is in development. If it sounds like something you would use, tell me what you would need from it and I will come back to you.
